Need Help Getting Cust. To Schedule Appt!

I am planning a trade show for a client. The show is very appointment driven. Most of their customers make appointments , others say they will "stop by". It is a gemstone show. I need ideas as incentives to get prospective customers to schedule an appointment before the show! Any ideas??

    Just some comments.

    Is there a very prized item? Create some early hype with the customers? Tell them so and so has already signed up? (have to be careful with this, but mostly go by affiliation of the customers themselves.) A small token of appreciation for attending? (this will be given during the event to encourage returns on next show or event)

    Make use of social norms to aid you. Mention on your website of last event's success and how many people have already made appointments to the coming event. When people think that its a norm to make appointments they will, instead of just "dropping by" This should be reflected by your contact personnel also.

    Make it a network opportunity for the customers. (if it is relevant) Provide other relevant services to their business

    Simply explain that in the past, you've been able to accommodate "drop-ins", but to provide personalized service you require a scheduled 15-minute (or whatever works for your presentation) appointment. If you tell them how long the appointment will be ahead of time, then they can likewise schedule it for their needs.

    What is THEIR benefit to signing up ahead of time? Do you have an incentive that answers WIIFM from their point of view? Why should they commit to an appointment time instead of being able to browse the convention at their leisure?

    Offer them some small but prized item, coupon, offer, that is only available for signing up ahead, not to drop ins, and make that clear.

    You could also say you will accommodate drop ins during certain hours of the day if your bookings are tight enough the rest of the time. In essence, you are scheduling their appointment for them, then.
