The Best Way To Organize A Marketing Dept Workflow

I work for a marketing dept at a financial institution and I am trying to figure out how to improve our work flow.

I would like it function as if we were an agency. However, I have never worked at an agency before and I don't know exactly how they function. We have a VP, PR Director, Creative Director, Marketing Communications Specialist, Web Developer, Product Developer, and Campaign Coordinator.

I am trying to figure out how to make our projects more organized and how to track things more effectively.

    You say you would like your dep't to run like an agency...but you've never worked at one or don't exactly know how they run. ???
    Well, First how exactly do you envision such a dept. to run? Maybe we can start there and I can provide some direction.

    2nd. Who reports to who? I doubt everyone' on free-reign. Generally speaking you have Marketing group then a Creative group.

    3rd. Pls clarify if the product developer is more like a Brand Mgr. or more on the lines of a creative product developer under the discipline of creative?

    I said an agency because we are kind of like the marketing agency for other departments who have marketing needs and we are responsible for coming up with promotions on our own as well. I envision there to be one person such as an account coordinator who is the point person and then each project is treated as such and given to the person in the department who can handle it. The problem is tracking the time or simply know how much time to devote to a particular project and tracking if a project or promotion was valuable.

    Everyone reports to the VP of Marketing. There are no mid levels each person just has their specialty.

    The product developer is responsible for coming up with new products to market, such as a new checking account to offer or student visa program, etc.
