I work for a non-profit organisation. I conduct seminars to members and to the general public. Normally, I would send an email broadcast from the database I have built.
In my email, I either paste all the text in the email body or attach the pdf brochure. I have come across numerous emails from other including Marketing Prof with HTML formats. It is colourful and attractive and the size of the file is small too.

My question is, how do I do the same? Do I need a software? Do I need to load anything at the main server?

    Constant Conact or for a better more professional service use www.listrak.com. It a graet service and gives you tracking as well. It is not wise to send attachements in mass mailings. If you have to provide a pdf file make it a link.

    The are steps to handle an email campagin but there are questions you need to answer for getting the right answers.

    Do want to send the email blast just for information purposes?
    Are you expecting a response or do you want to guage the response?
    Any sales/marketing objectives that need to be achieved?

    Depending on answers to this you either design the mailer yrself using freely avaliable softwares or get it designed. Either ways you need to follow basic EDM guidelines.
    Like what percentage of graphics is allowed, how much html etc etc. because if you dont, your mail will be slotted as Spam mail and even if you correct your mistakes later,,their servers would have already blocked out your domain name. So you have to follow these guidelines. Even if you do something small, make sure you do it well. Sending emails is economical, hence much abused. So if you do it, do it well or dont do it.
