Upcoming Fashion Event

HI All,

Am new to this amazing knowledge based website!
I am a model interested in PR/advertising. I have taken a self-study route.
I am organizing my first fashion event - EcoChic fashion gala...the problem I have is how to get fashion shops to showcase their collections..I have met with a few stores, & they have emphasized their interests. To make ends meet, I need to charge these shops for the costs of the models + runway. How wud I say all of the above in the letter I send inviting them to take part in the show to make it all formal? The overall goal of the show is to promote sustainable living.
Also, how do i compose a proposal letter requesting sponsorhip from local businesses? In return am offering free publicity & advertising in the local media. Thanks a mill in advance for your help and advise.

    Get a major sponsor to 'underwrite' the event - someone like : Fashion Show brought to you by Coca Cola (just for example) - try to use this to cover the cost of the advertising, you should expect some free publicity if your press releases are worded correctly, but I wouldn't expect free advertising. You advertise the event correctly and get the consumers to the event, then the vendors should be happy and even expect to be a part of the show.
    Build a buzz about town. Then tell them what you are doing to get the public there - number one thing to remember when selling this idea and sponsorship to each vendor - dont tell them why you need the sponsorship, tell them why they need to be at the show. How will it benefit them? If you take the approach as you stated it, you will have a very poor response. Sell it like they HAVE to be a part of this particular show because it caters to their clientel.

    and I would sell the major sponsors face to face with maybe a leave behind. Don't expect a piece of paper to seal the deal for you! Then your leave behind should just be the facts: what - when - where. and the available sponsorhip levels. Set it up like: Cover Girl: $2500 then list what all they get with this. Supermodel: $1000 then list, etc.

    First, to answer your question-- I'd meet with them first, determine its a fit-- and put it in a proposal form-- but again after the first meeting. The proposal should outline hours, what is the responsibility of the store and venue, what you will include, # of models, what they need as far as site (dressing rooms, etc), penalties for cancellation, and payment/terms- and anything else I have missed. Have a signature line for the store to accept and date.

    It would certainly be more appealing to a store if you had a sponsor as in the post above. There are many enviro friendly firms that would see this as a great opportunity to ally with and reinforce their brand.

    When I owned a restaurant, we'd host seasonal fashion shows with a local store. It was win/win-- I had a full luncheon crowd and she was able to showcase her store.

    Guys, thanks for your contrubutions and for taking the time to answer my question.. I believe anything worth doing at all..is worth doing well.

    I have taken and combined all your suggestions. This would be my first major show to plan and execute.. so thanks for all your inputs to make this the best stylish event in the rebel county.

    The event is to celebrate the annual Int Jazz Festival in style...I have organized with a sponsor to provide the champagne reception on arrival of guests, with live band to entertain the crowd...followed by a eco-fashion show.

    The 2 part letter: first part introduces the event to the potential sponsor/collaborator and the 2nd part is mainly about the location, time, date, models, fee, contract etc.

    At the moment, am still in talks with a major sponsor, to sponsor the event....

    I never knew so much was involved.....I am a newbie...but am learning as i go along..
