Copy For An E-receipt

Posted by art on 500 Points
Hi Everyone - I desperately need your help with copy for an e-receipt. I have been a freelance graphic designer for over 10 years and in all that time I am ashamed to say I have never posted my clients a receipt. It does not seem to be a problem and I have never been asked to do it, but I feel that I would somehow like to acknowledge and thank people for their payments and business.

What you might need to know to help me:
1 – I know all my clients personally and have developed a good friendship with most of them.
2 – 80% of my clients are corporate businesses (national and some international)
3 – I use an accounting programme which sends electronic invoices.
4 – All my clients pay by electronic bank transfer straight into my account.
5 – I would like to send an e-mail acknowledging their payment which I pick up on my bank deposits.

In the past when I was much smaller, I personally delivered or posted each invoice with a hand written note. Now that the business has grown, I have lost that personal touch because my assistant e-mails the invoices from a different e-mail address – so the clients know I have not had much to do with the invoicing.
I feel a little distanced from the admin side, so, to rectify that, I am going to send an e-receipt. Here is the text I am agonising over...

Dear Client (I will personalise it with their name)

This is to acknowledge receipt of an ammount of R1200.00.

Thank you for this payment, your business is appreciated.

Yours sincerely

Laura

Your draft is pretty simple and to-the-point, if I may call it so. You may want to include such details as what was the nature of service provided and the relevant details for your and the clients' records.

The creativity section should be in the form of the face of the e-receipt than the content. So if you can get your web-designer to get the relevant contextual page for the receipt, your job is done.

    All the Best!!

    (Aside: "ammount" is misspelled)

Besides Preeti's comments, I would also add it's' a natural time to upsell other services you offer that they're not aware of as a postscript.

Since I just got one for something, here it is (with a few edits to fit your situation):

    Thank you!
    Dear [CLIENT NAME]
We would like to confirm that we have received your payment of _______ for (graphic design for your new brochure, or whatever service you provided).

    Sincerely,

    YOUR NAME
Your e-signature (contact info, web address)

And then, to add to Jay's thought, add a PS (it's one of the top places people look) afterwards to cross-sell, up-sell, or ask for referrals.
