Data Handling Disclaimer

I am attempting to put a disclaimer on our quote face related to the fact the estimate includes XX hours of data handling, additional hours to be billed accordingly.

We often receive projects quote for 2 hours of time and end up receiving multiple lists requiring additional time for handling and wish to make it clear in the quote face the extra time is billable without drawing too much concern prior to acceptance of the project. We do not wish to seem offensive in the language, or too much "legalese."

    One option is to provide a quote that has a range of, say, +/- 10% to allow for a possible overage. It also gives you the opportunity to bill a little less when the time required is less than you expect. (Clients LOVE that!) You can even add the +10% amount to what you would have billed, so you have a good shot at coming in at -10%.

    You will still need some disclaimer that says "Most projects come in at or under the estimated amount. In the unlikely event that a project requires more than the estimated amount, we will contact you in advance for approval to an appropriately-adjusted fee."
